Key Tasks & Responsibilities
The role focuses on representing the client to support the delivery of premium experiences. Working with an allocated group, your role will be to ensure that VIP guests have an exceptional experience, that they are fully serviced and managed on-site.
Responsibilities include:
1. Ensuring VIP guest spaces are ready to receive guests.
2. Support management of VIP guest hosts & hostesses.
3. VIP Guest welcoming.
4. Management of VIP guest groups to provide an exceptional experience.
5. Dealing with VIP guest requirements.
6. Support the delivery of VIP guest elements on-site logistics, activations, experiences, gifting, ticketing and accreditation.
7. Interaction with wider client team to ensure delivery of all aspects of a premium experience.
8. Managing VIP Client itineraries for meetings, experiences and activations.
There may be some involvement in supporting the delivery of associated events including gala functions.
Knowledge, Skills and Experience
1. Experience in high-end client management at sports events; particularly at larger, outdoor events.
2. Understanding of hospitality, sponsor rights, sponsor activation, in-venue experience delivery & VIP protocols.
3. Event experience in multiple functions such as ticketing, VIP management, and hospitality/client management.
4. Familiar with onsite event operations.
5. Experience in the delivery of services at either large outdoor sports or non-sport events.
6. Fluent in Japanese and English languages.
7. Excellent stakeholder management skills.
8. Strong project management and excellent stakeholder management skills.

Contract Type: Freelance
Successful candidates will be engaged by IPSEM Squared on a freelance basis, i.e. a fee will be paid when services are provided. Candidates may be set up as their own business entity in their home country and must maintain their own business registrations, compliance, tax arrangements, employment law obligations and any required insurance. Freelancers will invoice IPSEM Squared for their services at a standard, agreed rate.
Availability & Commitment
The number, location and required timeframe of available roles will vary based on the demands of the client, and there will be no guarantee made as to a minimum allocation of events.

1. Previous event operations experience.
2. Your experience specific to the role.
3. Previous experience working in Asia and particularly in Japan.
4. Availability for the end of March, including whether you are currently in full-time employment or if you currently work freelance.
5. Level of proficiency in Japanese language.
6. Which countries you currently hold passports for or possess the right to work in.
