Job Title: Trainee / Intern in the Tour Director Office, Kyoto

Six months work placement

Dates: May 2024 - December 2024

Hours: Full-time Monday to Friday

This role is onsite in the Kyoto Regional office, with the possibility of occasional trips to the Tokyo office.

The Tour Director Regional Office looks after the recruitment, training, support and welfare of our freelance Tour Directors based all over Japan. During an average nine day tour, our Tour Directors remain with the group from start to finish and run the logistics of the tour.The Kyoto Office works closely with our colleagues in the Operations team based in Tokyo.

The Role

As an Intern / Trainee / office assistant in the Tour Director Department of Kyoto, your responsibilities will be varied throughout the season.

As part of a small team, you will help support our freelance Tour Directors across Japan.

Responsibilities will include, but not be limited to:

  • First point of contact with Tour Directors (TDs) when calling or visiting the office.
    • Assisting TDs pre-tour with materials, documentation & communication relating to their tours
    • Answering queries and questions from Tour Directors.
    • Assisting the TD department team with daily issues that may arise due to delays & unforeseen events on tour.
  • Liaising with Operations staff in Tokyo as well as staff in Zurich and Boston.
  • Supporting the TD Department team by assisting with other administrational responsibilities such as issuing debit cards, data entry in our system, background check and more.
  • Supporting the team with recruitment, training and preparation for tour of new TDs.
    • Looking at long-term solutions to improve the efficiency of the office processes.

Requirements

  • Fluent in English
  • Fluent in Japanese
  • Permission to work in Japan without restriction
  • Confident & friendly attitude – customer orientated mindset.
  • Proficient in Microsoft Office and Microsoft Excel.
  • Strong organizational skills and attention to detail.
  • Strong initiative with proven problem-solving skills.
  • ‘Nothing is impossible’ & innovative attitude.
