Position: Executive Assistant

Work Hours (Client): Monday to Friday, 8 am to 6 pm CST

Work Hours (MNL): Monday to Friday, 9 pm to 7 am MNL Time

Pay Range: $1,100 to $1,200/month (depending on interview assessment and client's approval) Please take note that pay will be given in USD

Company/Client Overview:

The company is a rapidly growing women’s apparel company, based in Austin, TX with warehouse operations in South Florida. The company is 95% wholesale and works with many retailers across the US. The majority of the company’s employees work remotely, except for the warehouse crew and Operations Dept team members, who work from the Florida site. The company is celebrating its 15th year in business this year. Its leadership team is a dynamic wife (CEO) and husband (CFO) couple and is proud of the “family” and close-knit company culture.

Duties and Responsibilities:

General Admin work:

  • Project management support for CEO and COO. Prepare materials and agendas for meetings, align with other heads of depts, and take meeting minutes when necessary.
  • Manage CEO and CFO/COO's calendar, including meetings, appointments, and travel arrangements.
  • Coordinate travel arrangements and event planning for company workshops, tradeshows, and misc.
  • Serve as a general administrator including general housekeeping of systems, keeping systems to record and share passwords/licenses (Gmail, Microsoft, Adobe, etc.), purchasing office equipment, and maintenance of company documents.
  • Keep track of the license renewal process, including coordinating with partner universities via email and respective licensing agencies.
  • Organize licensing rights and timelines to ensure licenses are maintained on a regular basis.
  • Conduct research and compile information for CEO and CFO/COOs projects or presentations.
  • Handle confidential information with discretion and professionalism.
  • Assist with personal tasks or errands for the CEO and CFO/COO, as needed.

Human Resources Administration Work:

  • Act as an HR lead including onboarding team members, ensuring healthcare renewal, celebrating teams' birthdays/anniversaries, etc.
  • Post and monitor hiring for the company, including managing Indeed listings, and vetting resumes for both part-time and full-time team members.
  • Keep track of PTO in a centrally maintained database.
  • Perform ad hoc administrative and business ops tasks as needed.

Requirements

  • 4-7 years of proven experience as an executive assistant or in a similar role
  • Proficiency in office software such as Microsoft Office or Google Suite, Gmail, Slack, and Dropbox or similar software
  • Native-level English communication skills
  • Highly organized and structured
  • Has had experience working with a CEO or similar role
  • A go-getter, critical thinker, and problem solver, is proactive, and willing to take on tasks
  • Bachelor's degree or equivalent experience preferred
  • Excellent organizational and time management skills
  • Strong communication and interpersonal abilities
  • Ability to multitask and prioritize tasks effectively
  • Discretion and confidentiality in handling sensitive information
  • Flexibility to adapt to changing priorities and schedules
