We’re creating this exciting new team to manage real estate facilities, EHS (Environment, Health and Safety), Occupational Health and Security service.

The proposed position:

Japan Site Lead (WREF & EHS) is responsible for the management and delivery of Facilities management, EHS and Occupational Health services for GSK Japan offices as a single leader (Tokyo, Osaka Takamatsu) and ensure accountability and responsibility of service delivery to meet business needs, This role will serve as the primary liaison with the businesses. Furthermore, Japan lead will work closely with GSK Global/Regional team for local implementation, to mitigate the potential risks may exposure to local team members and operations.

Key Responsibilities

Real Estate and Facility Management

  • Responsible for relationship management with stakeholders in GSK to ensure infrastructure and services support and facilitate the full range of business operations. – to meet the enterprise needs aligned and balanced against local business needs.
  • Ensure local delivery of all facilities and services at the site location(s), ensuring cost, quality and compliance metrics are achieved by key contract partners.
  • Implement policies, standards, and guidelines as per GSK requirements.
  • Manage service partner’s performance, ensuring their delivery to standard KPI/CPI/PI, and ensuring the services delivered following agreed target and related policies for EHS, Security, Risk and Compliance, etc.
  • Work with WREF experts and landlord to ensure Real Estate transactions and lease renews/negotiation are delivered at site level align to business strategy.
  • Prioritize delivery of a program of capital projects (including minor works, infrastructure, business driven and energy projects) for assigned Business Unit(s).
  • Accountable for the preparation for Annual budget for the site facilities operation and ensure the financial data accuracy.
  • Identify opportunities for improved service site level, drive better employee experience via through innovation, technology, and processes.
  • Tracking, monitoring and reporting performance metrics for the site to make required executive level decisions or interventions to ensure compliance with the contract terms.
  • Fleet management, coordinate with HR for car rental services for LOC leaders, including MSA with vendor, individual contract engagement, PO and payment management, and coordination for the service improvement.
  • Other projects or additional assignment may be identified from leadership to the position, it may not be fully listed as above but could be under the area of Real Estate, Facilities Management and Administrative services from certain level, which to align with WREF strategy and contribute to the best level of workplace experience to GSK people.

EHS

  • Setting EHS objectives to align with regulatory, GSK global EHS requirements and facilitate EHS council to accomplish commercial EHS objectives.
  • Provide professional and specialist advice and support to the organization to ensure the business remains legally compliant as a minimum. Also, ensure adherence to applicable global EHS standards.
  • Lead EHS risk assessment and work with business partners to mitigation EHS risks. Be responsible to coordinate regular EHS inspection and MM/IBM/audit program.
  • Establish, review, and update commercial EHS procedures at the site(s).
  • Work with Regional Occupational Health team to establish employee health programs to promote healthy work environment and mental wellbeing.
  • Facilitate key commercial EHS programs implementation, such as life safety, office safety, health, and wellbeing.
  • Develop EHS training programs for the commercial business and deliver EHS induction training for new employee induction program.
  • Facilitate EHS incidents investigation and responsible for EHS incident reporting to local authority and global EHS reporting system.
  • Liaison with GSK global and regional EHS network to learn and benchmark best EHS practice.
  • Establish and implement commercial EHS management system at the site location(s) and associated activities such as Life Saving Rules, Driving Safety, etc.
  • Monitor EHS performance and trends and develop solutions to continuously improve performance.
  • Identify Emergency Response Scenarios and develop response plans. Liaise with Site Leadership Teams and conduct periodic mock drills on the identified emergency scenarios.

Security

  • Developing procedures and an environment to protect people, assets, and information.
  • Coordinating security issues and investigations at site.
  • Conducting risk assessment and security reviews.
  • Working closely with GSK CCM sponsor for Crisis Management Plan and Business Continuity Plan.

Education Background:

  • Bachelor’s Degree in Business, Engineering, Facilities, Real Estate, EHS or related discipline

Relevant Job experience:

  • Minimum 10 years of relevant experiences on office facilities management, EHS, Security service management
  • Had experience in corporate crisis management such as earthquake response plan, COVID etc.
  • Additional qualifications such as PMP, CFM/FMP is a plus
