Job Description Summary

The Logistics and Site Material & Quality Administrator is responsible for managing logistics, site material, and site-related and warehouse-related quality activities (i.e. shortage of materials or parts, defective material/parts handling, refilling of materials or parts, package identification, etc.) for the Ukujima HVDC Project.
This role supports the importation, customs clearance, inspection, delivery, and handover of plant equipment, and serves as a key coordination point between the customer and internal stakeholders in the event of non-conformance and quality-related issues at warehouses or project site(s).

Job Description

Roles and Responsibilities

  • Manage the importation, customs clearance, internal inspection (as required), handover inspection, and delivery of plant equipment for the Ukujima HVDC project.

  • Coordinate with customers and GEV internal teams logistics non-conformance cases, including quantity shortages, deformation, damage, rust, condensation, mold, improper storage, and failures in temperature or humidity control.

  • Coordinate site quality response activities related to logistics, including issue reporting, investigation support, and corrective action follow-up, in cooperation with the internal Quality function department.

  • Monitor and manage transportation schedules for plant equipment, and coordinate logistics plans with customers.

  • Organize, maintain, and manage packing list data for equipment and materials to be handed over to customers.

  • Act as the primary customer interface for site- and warehouse-related logistics and quality issues, ensuring timely communication and progress tracking until closure.

  • Visit customer construction sites and warehouses as required, and support on-site logistics and material-related activities.

  • Perform domestic business travel as necessary.

  • Proactively/directly engage with suppliers to expedite the delivery of components addressing shortages and defective parts.

  • Coordinate with customs clearance agents to ensure the timely arrival and site delivery of all project materials.

Qualifications & Skills

  • Strong teamwork and communication skills.

  • Native-level proficiency in Japanese.

  • Business-level proficiency in English.

  • Willingness and ability to learn and operate internal data management systems (i.e. MTA/MCL)

Remarks

  • Business travel to Kyushu area (Sasebo, Hakata, Imari, etc.) and project site(s): when required.
