Purpose

Contributes to the overall success of the Operations department of Scotia Dealer Advantage in Canada ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.

Accountabilities

  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Provides a high level of service to internal and external customers by: Always projecting a professional image by ensuring boardrooms and surrounding areas are maintained; assisting with meeting requests or other administrative tasks; ordering and maintaining levels of stationary, coffee, maintenance supplies and equipment; maintaining and organizing supply cupboards; handling the internal/external mail and couriers; receiving/opening and dispatching the daily mail and cheques.
  • Adhere to the compliance of regulatory and internal Bank guidelines by: Acting as the unit’s primary key custodian and adhering to the established system by which keys, alarms, FOB cards and other custodial items are securely tracked and managed; controlling office access via One Badge doing access set-up/tracking/removal; performing all other duties as assigned. Completing the monthly accounts reconciliation for the office and ensuring all invoices are paid on time.
  • Assist with the maintenance of facilities, equipment, and processes to optimize operational performance of the SDA team by: Assisting with the correction of deficiencies with respect to the unit’s premises, processes, equipment and supplies; acting as back up to the Operations Officer
  • Assist the management team with various tasks: Assist VP, SDA with travel bookings. As needed, assisting the management operations, supporting administrative and clerical tasks, analyze and report on area data and performance metrics and coordinating with other departments for project support to meet the organization's objectives and profitability goals.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.
  • Champions a high-performance environment and implements a people strategy that attracts, retains, develops and motivates their team by fostering an inclusive work environment; communicating vison/values/business strategy and managing succession and development planning for the team.

Education / Experience

  • Working knowledge of Occupational Health & Safety procedures.
  • Strong organizational and time management skills; the ability to prioritize, allocate and monitor workload; using sound judgment to address problems and discrepancies.
  • Proven interpersonal and communications skills.
  • A high degree of flexibility is required to adapt to a variety of tasks and functions.
  • Strong PC skills are necessary.

Working Conditions

  • Work in a hybrid environment; non-standard hours are not a common occurrence.
