Administrative Assistant, Corporate & Investment Banking Japan

We are looking to hire a performing Administrative Assistant for across Lines of Business support for Corporate & Investment Banking (CIB) Japan. A successful Administrative Assistant possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. In this role, you will work from office.

As an Administrative Assistant in Corporate & Investment Banking Japan, you will represent the manager/group with professional courtesy and acumen, and deliver flawless output, including interaction with various executive level internal clients across the lines of business. You will need to adapt procedures, processes, and techniques to complete assignments in line with the departments’ activities and goals. In this role, you will need to work well in a team environment. This role is managed under the centralized-admin model. The primary assignment or the job scope may change in the future.

Job responsibilities:

  • Support scope of Lines of Business (LoBs): Mainly CIB Technology, Sales & Marketing and other LOBs when required.
    • Support CIB Technology as a group assistant -covers CIB Technology, non-senior management staff.
      • Booking conference rooms, audio visual equipment, documentation, meeting scheduling etc.
    • Support Sales and Marketing (CIB Business) support as required.
      • Support events - recruiting, client events including seminar and internal events.
  • Support to arrange meetings for visitor(s), management meetings – 1) Office access/Desk assignment/Meeting room booking/Visitor schedule coordination, 2) VISA document arrangement, 3) Vendor or third-party visits logistics.
  • Support to book tickets for business trips and team travel arrangements, when appropriate.
  • Check airfare & hotel availability for cost estimate/air & hotel booking/office access/policy reminder and arrange VISA documents.
  • Providing general support such as photocopy, stationary ordering, filing/Digi mail/Mail & health insurance notice picks up from the mailroom/Ariba purchase order- business card, headset etc.,
  • Support personnel on-boarding and off-boarding coordination, including logistics for new staff.
  • Handle cabinet management- keys and BCP site access cards management and support to handle Concur T&E, Ariba and SCDI as required.
  • Support to handle Concur T&E, Ariba and SCDI as required and any other ad-hoc supports to business and colleagues.
  • Assisting in ad hoc project administration support when required such as refurbishment project, etc.,

Required qualifications, capabilities, and skills.

  • Excellent interpersonal and communication skills with experience working with a variety of cultures.
  • Strong organizational skills, meticulous with details and able to work under high pressure and tight deadlines.
  • Able to work with a high degree of autonomy as well as part of a team.
  • Experience in managing relationships across all levels. Strong proficiency in both written and spoken Japanese and English

Preferred qualifications, capabilities, and skills

  • Microsoft Office skills, excel and power point.
