About the Opportunity
The Finance & Business Support Coordinator provides finance administration, office support, business development assistance, and bilingual communication services for Amentum's Japan operations. The role supports the smooth running of business activities by managing supplier payments, coordinating office administration, supporting proposals and client engagement activities, and acting as a key English-Japanese communication resource.
The position requires a proactive individual who can work across multiple functions, build strong stakeholder relationships, and progressively take ownership of routine operational activities with minimal supervision.
Key Responsibilities
Finance Administration:
Manage supplier invoice processing and payment requests.
Support Accounts Payable activities for Japan operations.
Coordinate supplier onboarding and maintain supporting documentation.
Assist with bank reconciliations, cash flow reporting, and month-end activities.
Maintain accurate financial records and transaction documentation.
Support financial reporting, audit, tax, and compliance requirements.
Liaise with finance teams and suppliers to resolve payment and finance-related queries.
Identify opportunities to improve finance processes and controls.
Office Administration & Business Support:
Coordinate routine office administration activities.
Manage office supplies, records, and administration systems.
Support facilities management activities and supplier relationships.
Coordinate office service providers, landlords, and building management requirements.
Support mail handling, document management, and office reporting.
Maintain business records, spreadsheets, and operational data.
Identify opportunities to improve administrative processes and efficiency.
Business Development Support:
Assist with proposal preparation and submission activities.
Support the production of presentations and client-facing materials.
Maintain business development records and supporting documentation.
Provide administrative support to business development and project teams.
Support client engagement activities, meetings, follow-up actions, and reporting.
Develop understanding of company capabilities, markets, and growth opportunities in Japan.
Language & Communication Support:
Provide English-Japanese translation and interpretation services.
Translate business correspondence, proposals, presentations, and supplier documents.
Support meetings with clients, suppliers, and stakeholders.
Ensure communications are accurate, professional, and culturally appropriate.
Act as a trusted bilingual resource across finance, administration, and business activities.

Required Skills & Experience:
Fluent Japanese and English language skills, written and verbal.
Strong administrative and organisational skills.
Good attention to detail and data accuracy.
Experience with finance administration, invoicing, or accounts payable activities.
Proficiency in Microsoft 365 applications.
Ability to manage multiple priorities and work independently.
Strong interpersonal and stakeholder management skills.
Professional approach to handling confidential information.

Working Arrangements:
Based in the Tokyo office with a minimum attendance requirement of four days per week.
Core attendance hours of 10.00-16.00
Full-time role requiring 40 hours per week.
