PURPOSE OF THE JOB

Administrative work with Office management including local HR at Ibaraki site and finance accounting by close communication with colleagues.

    • Office management : Finance accounting = 70 : 30

MAIN ACCOUNTABILITIES

  1. Local Office administration (Ibaraki site)

Take a lead local office management by close communication with plant manager.

  • Office general administration:
    • Take a lead the administrative general activities as the office administration.
      • Manage and secure office infrastructure and work environment, Desk telephone, Copy, air conditioner and adjacent equipment.
        1. Office GA budget is controlled, with the prepared annual budget.

      • Support Coordination of IT related subjects (SAP, IT infrastructure, IP phone) with IT manager (China/ Belgium), HP and IT outsources SE / vendors (eSolia).
        1. Coordinate with IT vendor on all office equipment for the users, and partnering with HR Manager on boarding and resignation.
        2. Update various IT related lists (computer, ID, account)
        3. Arrangement of procurement of BK IT standard computers.

      • Take responsibility for regular routine daily, weekly, monthly work as GA
        1. Mail Receipt/Deposit

      • Procurement:
        1. Vendor list maintenance & communication (travel agent, hotel, taxi, maintenance, stationary etc)
        2. Order name card, envelop, company logo sign, diaries, and annual report.
        3. Arrange office equipment and uniforms for employee.

      • Ensure office operations and procedures are organized, correspondences are controlled, filing systems are designed, and supply requisitions are reviewed and approved.
      • File and compile the contracts and agreements in the right place.
  • Event arrangements
    • Responsible for schedule meetings and appointments for staff & corporate events.
    • Arrange the welfare with the vendor, floor cleaning, beverage and newspaper.
    • Visitor-related arrangements (meals, lodging, cabs)
  • Policy implementation
    • Participate implementing Group policies (e.g. CoC, Purchasing, Travel Management, IT, and Corporate Communication) following the procedures and standards to guide the employees by guiding that enhance operational procedure with HR manager.
    • Responsible for creating PowerPoint slides and making presentations e.g. safety or any office general guideline information.

  1. Local HR administration (Ibaraki site)

Take a lead local HR as Ibaraki site by close communication with Plant manager.

  • Attendance record management
    • Store the timesheet and/or paid-holiday record as work-record.
    • Check working data and report to the finance and HR team.
    • Update yearly/monthly template format and provide it to all.
  • Medical/health service arrangement
    • Fill the Health Insurance & Employees' Pension report out and submit it.
    • Announcement of the health service to all.
  • Coordinate event
    • Off-site training arrangements
    • Arrange the occasion to enhance engagement and team building.
  • Corporate legal
    • Management of the local labor regulation, periodical review if necessary.
    • Follow to the latest laws and regulations, if necessary.
  • Lead Training and Orientation program
    • Responsible for providing orientation and training to new employees on GA
    • Provide orientation to new hires.
  • Partner with HR Manager & Plant Manager to maintain office policies as necessary.

  1. Accounts with SAP Operations

Taka responsibilities of book-keeping and support to the controller as accountant.

  • Accounting operations
    • Posting of transportation invoices
    • Lump-sum payment remittance (domestic vendors and Intercompany)
    • Invoice Entry
    • Payroll journal preparation
    • Vendor invoices Payment requests
    • Issue PO (supplies) and good receive
    • SAP Vendor Registration
  • Reporting
    • Expense reports, including verifying evidence and records.

  1. Corporate functions of Team Japan

Fully contribute and proactively involve the back-office activities as members of Team Japan in order to be more efficient and optimized.

  • Take a handle common regular routine work by responsibility assignment as Team Japan, BTMF and Bekaert Japan
    • Travel expenses, pay-roll data
    • Entry/Exit management
    • Pension program

  1. Plant Operation assistant

In ordering smooth plant operation, handle some activities as following.

  • Recorded data collection and report to PM
    • Collect monthly production and shop floor environment data.
    • Organize collected data in dashboard.
  • Upload monthly data to online system
    • Upload chemical inventory to Chemwatch
    • Upload working record to Enablon
  • Assistant for communication with stakeholders
    • Support the close communication with GA of Tokyo Rope at Tsuchiura plant, local government and local communities.

All the performance is measured by Supervisor against criteria relating to the progress and quality of the job.

ESSENTIAL SKILLS & COMPETENCIES

  • Good people relation, good listener for employees
  • Accounting knowledge, Book-keeping license (Boki) second grade.
  • Native level Japanese (reading, writing, speaking)
  • Intermediate level English (reading, writing, speaking) (Preferable: TOEIC 700)
  • Work independently.
  • Good follow-up and administrative skills
  • Flexible attitude, result driven and team working split.
  • Able to handle multiple tasks with priority setting and time management skills
  • PC (Excel, word, power point, outlook)

Better

  • Experience & basic knowledge of SAP (SD, FICO module)
