What you'll do
As a Sr. People Services Advisor, you will act as a high-level consultant, strategic problem-solver, and operational partner to the HRBP organization. You will own the resolution of complex, sensitive, and routine queries to ensure a seamless experience for HRBPs, managers, and employees. By merging operational data with business intuition, you will identify trends, drive large-scale process improvements, and coach leaders on people initiatives. As a key driver of organizational effectiveness, you will ensure people processes—from performance cycles to culture—are executed with precision and a consultative touch. In this role, you will partner directly with a specific function to support HRBPs, managers, and the general employee population.
This position is an individual contributor role reporting to the Manager, People Services. The Regional HRBP Lead for APJ will serve in a dotted line manager relationship and will provide feedback and coaching on performance.
Responsibility
Respond to the most complex HR queries from employees and managers, coordinating internal teams to seek resolution as required
Escalate queries requiring HRBP intervention, coordinating a response for the employee
Conduct 1st day HR onboarding for new joiners
Manage DC pension plans, Group Term Life, and GLTD insurance, including portal administration, enrollment, withdrawals, and vendor coordination (AON/Chubb/Sompo Japan)
Coordinate health and labor insurance procedures through HIA and the Payroll vendor, act as an employee intermediary for benefit applications, and handle mandatory e-Gov filings (e.g., Article 36 Agreements, health checkup reports)
Serve as the designated Licensed Health and Sefty Officer (第二種衛生管理者) to lead monthly Health Committee operations, oversee stress checks and regular health exams, and conduct bi-monthly workplace safety inspections
Serve as the primary liaison with the local Payroll vendor for employee onboarding/offboarding documentation, annual renewals, leave applications, and master data updates
Process employee certificate requests, handle benefit and clinic vendor invoicing, and manage specialized payroll adjustments (e.g., negative net-pay transfers, DC refunds)
Collaborate with the Payroll Team to manage attendance records, ensuring working hours are accurately reflected for accurate and timely payroll processing
Utilize the HR Ticketing system (ServiceNow) for Tier 2 queries, ensuring accurate responses and recording of necessary information for analysis
Generate employee change letters as required (such as job change or promotion)
Complete offboarding activities for employees leaving the company such as exit interviews and survey analysis
Provide regular feedback and reporting to HR Business Partners on trends
Complete all local/regional statutory and regulatory employment filing requirements
Where required by local/regional authority, complete all necessary wet signature requirements
Provide direction and support to managers on performance coaching for their employees, escalating to HRBPs where performance improvement becomes necessary
Support HRBPs to track and identify gaps in cyclical people processes such as employee survey action planning, promotions, performance and talent reviews
Own and manage project support for large scale change programs operated by the business partnering team
Provide quality, specialized operational support to business units in order to deliver a value-added HR service
Drive completion of mass data inputs/uploads, ensuring data submitted to HR Operations team is accurate and ready for loading
Act as the primary point of contact for a region/location or function in relation to HR queries and local needs
Facilitate and manage employee leave of absence requests across APJ together with the rest of the APJ team based on our case assignment model
Partner with the local compliance team for Docusign Japan to complete regular audit requirements
Provide HR administrative support specific to Japan (eg. contract amendments, or any other adhoc tasks in relation to local requirements)
Interface regularly with the HRBP teams to ensure smooth and effective operation of all HR support for regions/functions
In collaboration with the People Analytics team, provide insights into trends and important statistics in support of the HRBP team
Iterates and improves current methodologies, analytics, technologies, processes and other tools. Identifies bottlenecks impacting data, processes and/or procedures
Develops and implements new approaches to more complex issues. Regularly shares ideas and feedback with the team and manager
Assist with mass data inputs/uploads, ensuring data submitted to the People Operations team is accurate and ready for loading
Job Designation
Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring
Basic
BS/BA degree or equivalent in HR or related field
5+ years of HR operations and Payroll experience
Experience with Workday HCM and ServiceNow HR Ticketing system
Demonstrated experience managing complex projects or large-scale change management programs
Must hold at least a Class-2 Health Supervisor license (第二種衛生管理者)
Native-level Japanese and business-level English (both written and spoken)Preferred
Drives continuous improvement by reviewing, iterating on, and enhancing existing processes for greater efficiency
Leads highly sensitive and complex projects for the People team
A self-directed problem solver who can identify root causes and implement solutions in a fast-paced, non-structured environment
Excellent written and verbal communication skills, with the ability to navigate a global organization and align objectives with cross-functional teams
Ability to use data and impact metrics to support people-related decision-making and analyze the status quo for constant improvement
Ability to exercise high levels of judgment and discretion, maintaining confidentiality in sensitive employee matters
