Responsibilities

  • Manage and support end-to-end PMO activities, including planning, tracking, reporting, and governance.
  • Oversee and streamline travel and expense (T&E) / claims processes, ensuring compliance with organizational policies and client requirements.
  • Coordinate closely with delivery teams in China and customer stakeholders in Japan to ensure smooth project delivery and issue resolution.
  • Support commercial and contractual processes including:
    • Statement of Work (SOW) management
    • Master Service Agreements (MSA)
    • Change Request (CR) processes

  • Monitor budgets, track financials, and assist in cost control and forecasting.
  • Prepare and maintain project status reports, dashboards, and documentation.
  • Identify risks, issues, and dependencies, and drive mitigation actions.
  • Facilitate communication across cross-functional teams and ensure alignment with project objectives.
  • Support business growth by ensuring high-quality delivery and strengthening client relationships.

Job Qualifications:

  • Proven experience in PMO or project coordination roles (preferably in IT/services environment).
  • Strong understanding of Finance and Accounting principles, especially related to project financials, invoicing, and claims.
  • Hands-on experience with:
    • SOW, MSA, and Change Request (CR) processes
    • Budget tracking and financial reporting

  • Excellent stakeholder management skills with experience working in cross-cultural/global teams.
  • Ability to coordinate effectively with offshore teams (China) and local stakeholders (Japan).
  • Strong organizational, analytical, and communication skills.
  • Proficiency in project reporting tools (Excel, PowerPoint, PM tools, etc.).

Preferred Qualifications

  • Experience in handling travel & expense / claims operations in a corporate environment.
  • Familiarity with IT service delivery models.
  • Experience working in a multinational or cross-border delivery setup.

Language Skills: Fluent level Japanese (JLPT N1) and Fluent level English
