Purpose of the Role
This internship position is designed to support Ericsson’s Talent Acquisition (TA) function by ensuring that recruitment operations run smoothly and efficiently.
As an intern, you will support a wide range of operational activities across the recruitment process, including interview scheduling, offer and contract preparation support, reference checks and background verification (BGV/Vetting), pre-onboarding administration, and various reporting tasks.
Working closely with the TA GSSC (Global TA Centre) and the Japan People/TA teams, you will play an important role in providing a smooth, accurate and compliant recruitment experience for candidates, TA Partners and hiring managers.
Why This Role Is Attractive
You enjoy organizing complex processes and handling detailed tasks.
You find it rewarding to work behind the scenes to support others.
You want to be part of a global recruitment team while running local recruitment operations in Japan.
In this internship, you will act as the “engine” of recruitment operations in Japan, ensuring each step runs without issues, documents are handled correctly, and candidates and hiring managers feel supported throughout the process. It is a role where you can gain hands-on experience in running local processes and communications within a global TA environment.
Key Responsibilities
1. Operational Coordination & Process Management
Support recruitment operations in your assigned areas, including:
Scheduling and arranging interviews
Administrative support for offers and contracts
Support for BGV/Vetting (background checks) procedures
Pre-onboarding/onboarding administration (document guidance, collection, etc.)
Work in line with standardized process guidelines and work instructions, aiming to complete tasks accurately and within agreed SLAs.
Collaborate with TA Partners and hiring managers to support the preparation and processing of offer, contract and onboarding documents in accordance with Ericsson policies and Japanese laws and regulations.
2. Stakeholder Communication & Collaboration
Build and maintain effective communication with TA Partners, hiring managers, HR teams, Legal and other stakeholders.
Act as a contact point for the operational processes you support, clearly communicating status, next steps and timelines to stakeholders.
Provide timely updates and follow-ups to candidates and internal stakeholders, helping to manage expectations and keep recruitment activities on track.
3. Data Management & Reporting
Accurately register and update candidate and requisition information in recruitment systems and related tools (such as SAP SuccessFactors).
Support the creation of regular and ad-hoc reports on operational metrics (e.g., turnaround times, completion rates, number of open cases).
Contribute to maintaining data consistency and accuracy so that information can be reliably used for analysis, audits and decision-making.
4. Compliance & Risk Mitigation
Adhere to Ericsson policies, employment laws, labor regulations, GDPR and Japanese data privacy requirements in all operational activities.
Handle confidential candidate and employee information carefully, in line with ethical standards and internal controls.
Support collaboration with Legal and HR/TA teams when compliance questions or exceptions arise, helping to escalate issues appropriately and mitigate potential risks.
5. Candidate & Stakeholder Experience
Help ensure that each operational touchpoint provides a smooth and positive experience for candidates and internal stakeholders.
Respond promptly and courteously to inquiries from candidates and stakeholders, providing practical guidance and support.
As part of the TA function, represent Ericsson’s values and culture in your communications and act as a brand ambassador for the TA team.
6. Continuous Learning & Improvement
Learn about TA operations processes, tools and technologies, including GSSC global standards and Japan-specific requirements, and keep up-to-date with changes.
Participate in training, knowledge-sharing and continuous improvement activities within the TA and GSSC communities.
Suggest ideas to improve workflows, templates and work instructions to enhance efficiency and quality.
