A Day in the Life

Responsibilities may include the following and other duties may be assigned.

  • Leads and oversees day-to-day Event Operations activities, ensuring stable execution of end-to-end processes from event request intake through approval, procurement, payment, and closeout.
  • Provides operational leadership to a team of Event Operations specialists, including workload planning, prioritization, quality control, and coaching of team members.
  • Manages event execution processes including content review, documentation preparation and issuance (e.g., contracts, letters of request, acceptance forms), vendor coordination, and post-event reporting and documentation collection.
  • Ensures compliance with internal policies and external regulations, particularly in relation to HCP/HCO engagement, by validating required documentation and managing audit-ready records.
  • Oversees procurement and payment processes, including quotation review, PR/PO issuance via systems such as Ariba, invoice validation, and coordination with Finance and outsourced operations teams to ensure timely payment completion.
  • Manages vendor lifecycle processes including vendor onboarding, master data validation, and issue resolution related to registration or discrepancies.
  • Acts as a key liaison across cross-functional teams such as Sales, Marketing, Education, Finance, Compliance, and global/shared service teams to ensure smooth process execution and alignment.
  • Leads continuous improvement initiatives to optimize Event Operations processes, including reducing cycle times, minimizing rework, and standardizing workflows across systems (e.g., Onit, SAP, Ariba, Cvent).
  • Participates in and contributes to cross-functional and global projects aimed at transforming Event Operations processes and implementing best practices.
  • Drives adoption of digital solutions, including generative AI and automation tools, to improve efficiency, enhance data utilization, and enable new ways of working.
  • Analyzes operational data and performance metrics to identify trends, recommend improvements, and support data-driven decision-making.
  • Fosters a culture of continuous improvement by challenging existing processes, identifying opportunities for transformation, and leading implementation of innovative solutions.

SPECIALIST CAREER STREAM:

Typically an individual contributor with advanced expertise in Event Operations or a related discipline. Leads and/or manages projects and processes, while providing guidance to other team members. Works closely with stakeholders across functions and regions to achieve operational and business goals.

In this Senior Specialist role, the individual not only ensures operational excellence but also drives transformation initiatives, leveraging process expertise, digital tools, and innovative thinking. The majority of time is spent leading operations, improving processes, and contributing to cross-functional and global projects while adhering to compliance and policy requirements.

Responsible for managing critical Event Operations processes and leading team execution. Contributes to the achievement of organizational objectives by ensuring compliant, efficient, and scalable operations and by influencing cross-functional alignment.

Innovation and Complexity:
Addresses complex operational and process challenges involving multiple systems, stakeholders, and compliance requirements. Leads process improvement and transformation initiatives, incorporating digital tools and generative AI to enhance efficiency and effectiveness. Provides in-depth analysis and actionable recommendations for optimization.

Communication and Influence:
Communicates with internal stakeholders, including senior leadership, as well as external vendors and partners. Influences decision-making through clear communication of operational insights, risks, and recommendations. Plays a key role in driving alignment across functions and regions.

Leadership and Talent Management:
Provides guidance, coaching, and training to Event Operations team members. Leads by example in both execution and transformation initiatives. May allocate work, monitor progress, and review deliverables to ensure high standards of quality and performance.

Required Knowledge and Experience:

Requires advanced knowledge of Event Operations, business processes, and compliance frameworks, typically obtained through a combination of education and relevant experience. Strong understanding of procurement, documentation management, and payment processes is required.

Practical experience in project management, process improvement, and stakeholder engagement is expected. Experience with enterprise systems (e.g., Onit, SAP, Ariba, Cvent) and digital/automation tools, including generative AI, is highly desirable.

Requires a Baccalaureate degree (or equivalent) and a minimum of 4 years of relevant experience, or an advanced degree with a minimum of 2 years of relevant experience.
