Cybereason is looking for an Employee Experience/Executive Assistant. This is a critical role; this position is based out of our Japan office, and this person will need to be in the office five days a week.

Your day will consist of managing and prioritizing a steady stream of requests, such as calendar management, booking travel, completing expenses and various side projects. To succeed, you’ll need to balance these multiple tasks. You will need to have the ability to build relationships quickly and adapt to different working styles. You should feel comfortable interacting with high-level executives and operating in a fast-paced environment. This position is ideal for someone who is organized and accountable and is looking to further develop their career.

This person will need to be in the office 5 days a week.

What you’ll do:

  • Manage executive calendars by collaborating with peers in a prompt and creative way to accommodate challenging and last-minute requests
  • Research, book and amend all travel and manage changes as they arise
  • Track and submit expenses
  • Work with our procurement team to organize team dinners and events
  • Plan on-site and offsites (domestic and international)
  • Maintain distribution lists and track action items and key issues to closure with a high degree of integrity and accountability
  • Able to accommodate multiple time zones as execs are traveling
  • Prioritize a steady stream of requests, exercising judgment on prioritization without much guidance needed from exec
  • Create the agenda for the JPAC All Hands monthly; including scheduling, agenda creation, follow-ups, etc
  • Partner with internal comms team for potential speaking engagements/conferences for execs to attend/speak at
  • Update the onsite budget with our designated finance team
  • Keep strict confidentiality of all business critical and proprietary information that you may be exposed to
  • Have an “all hands on deck” approach during critical circumstances and engage as a team player
  • Assist with onboarding new hires when requested
  • Open to travel when needed on occasion
  • Pay close attention to detail and professionalism during all email communications, especially with executives, board members and customers.
  • Welcome all guests and clients to the office
  • Answer the company’s main phone line and provide backup administrative support when needed.
  • Manage office and breakroom supplies, office inventory and audit supply billing invoices
  • Respond to employee inquiries and requests in the office and through the shared email inbox.
  • Submit and manage building and office space requests
  • Order equipment and supplies for the office as needed
  • Oversee security clearance and access to the office, including pre-clearing all guests through building software as well as administering visitor badges and employee ID badges
  • Work closely with IT regarding printers and copier needs
  • Responsible for in-office catering needs and/or assisting with event planning
  • Process and prepare business mail
  • Support distributed workforce through engagement in Slack and other internal communication tools
  • Special ad-hoc requests and projects as needed

What We’re Looking For:

  • 3+ years of office administration experience
  • Hospitality and/or event planning experience a plus
  • Strong communication skills and customer service orientation
  • Proactive approach to problem-solving and prioritization
  • Well-organized and highly dependable
  • Proven ability to handle confidential information with discretion
  • Ability to work independently and collaboratively
  • Self-motivated and strong sense of personal accountability
  • Ability to build strong relationships with colleagues
