Gardenary, Inc exists to make gardening ordinary for everyone through online courses, books, and high‑quality gardening products while inspiring and educating millions via social media, podcasts, and the Gardenary blog.
Position Overview
This is a full‑time role reporting directly to the CEO, Nicole Burke. The assistant will live in or near Nashville, TN, commuting to Brentwood 3–4 days per week and working from home 1–2 days per week. Typical hours are 8 am–5 pm Monday–Friday, with occasional evenings or weekends during launches or events.
The mission of the Executive Assistant is to anticipate the CEO’s needs, manage all administrative details, and enable her to focus on vision and strategy for Gardenary, Inc.
Duties and Responsibilities
- Complex calendar management and scheduling (personal and professional)
- Email management on behalf of the CEO
- Communicating on the CEO’s behalf internally and externally
- Meeting management: preparing agendas, taking notes, distributing action items, arranging catering
- Personal and professional administrative tasks, including booking appointments, research projects, coordinating travel, ordering gifts/flowers, coordinating garden installs, scheduling photo/video shoots, etc.
- Running errands and attending in‑person meetings multiple times per week
- Assisting with family and home needs: running errands, coordinating contractors and vendors, managing children’s schedules, meal prep, and daily home‑related tasks
Skills, Abilities and Experience
- Quality Communication – Excellent written and oral communication; strong spelling, grammar, and punctuation; ability to summarize complex information quickly and respond across multiple channels (in‑person, video, Slack, phone, text, email).
- High Level of Discretion – Ability to handle confidential information with sensitivity and discretion.
- Team Player – Collaborates effectively with leadership, content, and marketing teams, maintaining a can‑do spirit and professional demeanor.
- Anticipating Needs – Proactively foresees potential issues, prepares contingencies, and clears the path for the CEO to deliver her best performance.
- Affinity for Technology – Technologically savvy Mac user; comfortable learning new tools. Preferred proficiencies: Slack, Zoom, Google Suite, AirTable, Asana, Microsoft Office.
Qualifications
- Education: Bachelor’s degree preferred.
- Experience: 2–5 years supporting C‑suite executives.
- Physical: Ability to bend, reach, and lift boxes and garden supplies up to 50 lb; willingness to use power tools.
