The Program Manager coordinates Milestone's contribution across multiple concurrent workstreams and acts as the primary point of contact for the Client program owner. This is a working seat, not a reporting seat. The role is expected to operate at task level as readily as at management level, and to step into analytical work directly where a workstream needs throughput.
Key responsibilities
- Coordinate Milestone resources across multiple concurrent functional workstreams, maintaining sequencing, dependencies and priority alignment.
- Serve as the day-to-day point of contact for the Client program owner and workstream leads on resourcing, progress and escalation.
- Maintain the consolidated view of activity, risks, issues, dependencies, decisions and actions across all assigned workstreams.
- Prepare and present consolidated status reporting on the agreed cadence.
- Work directly at task level — including analysis, requirements gathering, data review and user acceptance testing support — where a workstream requires additional capacity.
- Identify capacity, sequencing and quality concerns early and surface them transparently to Client stakeholders.
- Coordinate onboarding, access provisioning and induction for incoming Milestone resources.
- Support quarterly resource planning, including forward visibility of ramp-up and ramp-down requirements.
- Maintain continuity of program knowledge through documented decisions and structured handover.
Required experience
- 11+ years of project or program management experience, including concurrent management of multiple workstreams on a large-scale transformation program.
- Demonstrated hands-on orientation — comfortable working at task level and directly contributing to analytical and requirements activity, not solely coordinating.
- Experience managing delivery across blended onshore and offshore teams.
- Experience working with third-party system integrators and within a matrixed client environment.
- Strong stakeholder management, facilitation, root-cause analysis and conflict-resolution capability.
- Experience delivering within a regulated environment with formal governance and documentation expectations.
- Willingness to work a dedicated shift pattern providing overlap with US Eastern business hours.
- Experience working within GxP-regulated environments.
Preferred experience
- Experience on an enterprise learning, HR or comparable platform transition.
- Agile or scrum delivery experience and relevant certification.
- Prior life sciences or pharmaceutical sector experience.

- Documents decisions, actions and open items so that context is held in the program record and not solely with the individual.
- Cross-trains across adjacent functional areas to provide coverage redundancy within the Milestone team.
Compliance and environment
- Works entirely within Client's systems, tools and environments. No client data is moved to, stored in or processed on external tooling without Client's express written approval.
- Operates within a GxP-regulated environment and follows Client's data privacy, data integrity, information security and records-retention standards at all times.
- Completes all Client-mandated onboarding, access provisioning and compliance training before commencing project activity.
- Participates in Milestone's structured program induction covering program context, stakeholder map, ways of working and tooling.
