MS Exchange Administrator

The opportunity
Responsible for supporting and administering global Messaging and Directory services, with primary accountability for Microsoft Exchange Server On-Premises patching, maintenance and related infrastructure activities.
The role also requires working knowledge of Exchange Online and hybrid Exchange to support end-to-end service operations, troubleshooting and coordination across the messaging environment.
This entails following ITIL methodologies and may include infrastructure maintenance, upgrades, migrations, vendor coordination, documentation, knowledge sharing and training of team members.
Your key responsibilities
- Microsoft Exchange Server On-Premises administration and infrastructure support.
- Plan, coordinate and execute Microsoft Exchange Server On-Premises patching activities, including Security Updates (SUs), Hotfix Updates (HUs), Cumulative Updates (CUs), Windows updates and required prerequisites.
- Review Microsoft security advisories, release notes, known issues, prerequisites and dependencies, and translate them into patch-readiness assessments and implementation plans.
- Prepare Exchange servers for maintenance using approved procedures, including service health checks, Database Availability Group (DAG) and database validations, transport queue checks, load-balancer coordination and server maintenance mode.
- Troubleshoot patch installation failures and post-patching issues using Exchange setup and update logs, Windows event logs, PowerShell, HealthChecker output and other approved diagnostic tools.
- Create and manage change records, implementation plans, validation evidence, rollback plans, stakeholder communications and closure documentation in accordance with established change-management processes.
- Coordinate patching across production and non-production environments, including maintenance windows, shift coverage, technical bridge support, vendor engagement and escalation to Microsoft Support when required.
- Provide operational support for Exchange Online and hybrid Exchange, including recipient administration, connectors, accepted domains, mail flow, message tracing and escalation of cloud-side issues.
- Share technical knowledge through operational documentation and classroom or hands-on training.
Skills and attributes for success
- Strong ownership of Exchange Server On-Premises patching in large, business-critical environments.
- Methodical approach to patch assessment, risk identification, dependency validation, implementation, validation and rollback planning.
- Strong troubleshooting and root-cause-analysis skills across Exchange Server, Windows Server, Active Directory, DNS, IIS, networking and load-balancing dependencies.
- Ability to work effectively during critical maintenance windows, service-impacting incidents and accelerated security-patching activities.
- Strong attention to detail in change records, technical procedures, validation evidence, server inventories and compliance reporting.
- Ability to communicate technical risks, implementation status and service impact clearly to technical teams, service owners, vendors and leadership stakeholders.
- Strong teamwork, organization, prioritization and time-management skills in a globally distributed and cross-cultural environment.
- Continuous-improvement mindset, with the ability to standardize patching processes and identify safe automation opportunities.
- Willingness to share knowledge and provide classroom or hands-on training to team members.
To qualify for the role, you must have
- Seven or more years of hands-on experience in Microsoft Exchange Server administration, including recent experience with Exchange Server 2016, 2019 and/or Subscription Edition.
- Demonstrated experience planning and executing Exchange Server On-Premises patching across multiple servers, including SUs, HUs, CUs, Windows updates, prerequisites, reboot coordination and rollback readiness.
- Hands-on experience with Exchange maintenance mode, DAGs, database copy health, transport queues, mail-flow validation, certificates, virtual directories and post-patching verification.
- Proficiency in Exchange Management Shell and Windows PowerShell for administration, remote health checks, validation, reporting and automation.
- Working knowledge of Exchange Online and hybrid Exchange, including recipient administration, connectors, accepted domains, mail flow, message tracing and Exchange Online PowerShell.
- Experience working within ITIL incident, problem and change-management processes, including implementation planning, rollback planning, testing, evidence collection and closure.
- Experience supporting a large, highly available or geographically distributed Exchange environment and coordinating with infrastructure teams, monitoring teams, vendors and Microsoft Support.
- Strong written and verbal English communication skills, sound judgment, cross-cultural awareness and effective stakeholder-management skills.
- Flexibility to support planned maintenance, night shifts, weekends and critical security-patching windows when required.
Technical skills to include:
- Microsoft Exchange Server 2016, 2019 and Subscription Edition administration and troubleshooting.
- Exchange Security Update, Hotfix Update, Cumulative Update and Windows patch deployment.
- Patch-readiness assessment, maintenance mode, pre-patching and post-patching validation, and rollback planning.
- Exchange DAGs, databases, database copy health, transport services, mail-flow components, connectors, certificates, namespaces and virtual directories.
- Exchange Management Shell and Windows PowerShell for administration, automation, reporting and remote server health validation.
- Exchange HealthChecker, Exchange setup and update logs, Windows event logs, SCOM or equivalent monitoring tools.
- Working knowledge of Exchange Online and hybrid Exchange administration, troubleshooting and mail flow.
Ideally, you’ll also have
- Experience with Exchange HealthChecker, SCOM or equivalent monitoring platforms, load balancers and enterprise vulnerability management tools.
- Knowledge of Exchange high availability, backup, disaster recovery, site resilience, email security, archiving and retention.
- Experience improving or automating patching workflows, compliance reporting and post-patching validation.
- Working knowledge of Microsoft 365 security and compliance, Exchange Online Protection and Defender for Office 365.
- Experience managing Exchange certificates, TLS configuration, namespaces and certificate-renewal activities.
- Experience supporting Hybrid Configuration Wizard activities and troubleshooting hybrid mail flow and connectivity.
- Experience coordinating with Microsoft Support during critical patching or service-restoration activities.
